SMS Sender Campaigns

IdSurvey 7 offers the possibility to create SMS campaigns to send invitations to CAWI surveys and to reach with this tool a higher level of participation in a smart and quick way.

Same as for email campaigns, you can choose to create “Standard” SMS campaigns or “Smart” SMS campaigns, according to the requirements of each project.

The steps to follow in order to set an SMS campaign reflect the same logics of the email campaigns.

Always make sure that the contacts you want to reach have the field “mobile” populated with a valid mobile number.

A valid mobile number has to include an international prefix preceded by the symbol + or 00 (e.g. +393331234576 or 00393331234567).

Standard SMS campaigns

With “Standard” SMS campaigns you will be able to send invitations and reminders by selecting the contacts you want to reach and manually programming the sending of the message.

Step 1

From the CAWI settings, go to the “SMS Sender” section and select the type Smart or Standard.

Step 2

Set the name of the campaign and choose the customized sender.

Notes

  • The sender can be a name or a phone number. It cannot include spaces and it can’t contain more than 11 characters.
  • In this section you can insert an authenticated number to activate the “Unsubscribe” function (by adding a tag to the body to the SMS). To request an authenticated number we invite you to contact the support team.

Step 3

Insert the text of the message in the “Invitation” section. You will have to add the mandatory link to the questionnaire by clicking on the button “Insert questionnaire link”. The software will automatically create a univocal shortlink for each contact.

Notes

  • If the text should exceed 160 characters (maximum limit for a single SMS), it will be automatically divided into two or more separate SMS.
  • The use of some special characters and accented capital letters will limit the maximum number of characters per SMS to 70.
  • If you choose to use an authenticated number you can make use of the “Unsubscribe” function, by inserting the dedicated tag in the body of the message. To request an authenticated number we invite you to contact the support team.

Step 4

Click in the symbol ‘+’ on top of the ‘Invitation’ section to set reminders. You can send up to 4 reminders for each campaign.

Program the sending of the reminders by indicating the number of days that have passed since the first invitation was sent. The reminder will be sent after the amount of days that you entered.

Note

  • You can set reminders (add them or edit the ones that were previously programmed but have not been sent yet) even while the campaign has started. You will have to temporarily pause the campaign by clicking on the settings menu and selecting the “Manage Reminders” option. Once the changes have been made, the campaign will resume according to the parameters that were previously set.

Step 5

Select the number of contacts to invite.

Notes

  • You will not be able to edit this page for further reminders.
  • The system will automatically send the reminder SMS to all the available contacts that do not have a final outcome (completed interview, refuse, privacy not accepted, out of target, etc.)
  • By default, contacts engaged in previous SMS campaigns are automatically ignored by the system. To force the use of contacts belonging to other campaigns of the same survey, you need to activate the option “Use contacts from other campaigns”. Please note that in this case there may be inconsistencies in the campaign statistics.
  • You can select a target by using specific parameters that you can choose by clicking on the “Select your target” button.

Step 6

Program the SMS sending from the “Recap” section. Set the date and time of the first sending and start your campaign.

Notes

  • Any alert of error will be reported on this section. You will be able to go back and edit the campaign before programming the SMS sending.
  • You can edit the SMS campaign until the time of the first sending. Once you start the campaign, you will not be able to make further changes but you can only manage reminders that have not been sent yet (see Step 4).

 

Smart SMS Campaigns

If you want the software to automatically manage the sending of the SMS on its own, choose the option “Smart SMS Campaign”.

The system will check the presence of contacts that reflect the parameters set on the campaign target on a regular basis.

Smart campaigns automatically select useful contacts to complete quotas and automatically stop when the number of completed interviews is reached.

The invitations to smart campaigns are sent to groups of contacts calculated according to the response rate, quotas and further parameters previously set.

To set a Smart campaign, follow the Steps 1, 2, 3 and 4 related to the Standard campaigns.

Step 5

Set the total number of interviews to complete, with regard to the entire survey. The number set on Smart campaigns includes the completed interview of the entire survey, not only the ones completed via the active SMS campaign.

Notes

  • You cannot edit this page for further reminders.
  • The system will automatically send the reminder SMS to all the available contacts that do not have a final outcome (incomplete interview, refuse, etc.)
  • By default, contacts engaged in previous SMS campaigns are automatically ignored by the system. To force the use of contacts belonging to other campaigns of the same survey, you need to activate the option “Use contacts from other campaigns”. Please note that in this case there may be inconsistencies in the campaign statistics.
  • You can select a target by using specific parameters that you can choose by clicking on the “Select your target” button.

Step 6

Besides the date and time of the start of the campaign, you can schedule the control frequency (daily or hourly).

Note

  • When a smart campaign gets paused, the control time (daily or hourly) will be reset at the time in which the campaign will resume.
